Service Terms

These Service Terms ("Terms") are an agreement between AlwaysOn Front Desk ("AlwaysOn Front Desk," "we," "us") and the business that signs up for our service ("you," "Client"). By completing checkout, you agree to these Terms and our Privacy Policy.
1. What we provide
- Setup: We build a custom AI chat assistant for your website, trained on the information you give us (services, FAQs, hours, prices, service area, booking link).
- Lead capture: When a visitor leaves contact details (for example, after hours), the assistant saves the lead and sends it to the email address you choose, and by text alert to the phone number you choose if you request it.
- Booking handoff: The assistant can send visitors to your existing booking link or online scheduler. We don't manage your calendar or bookings.
- One content change per month: For example, updated hours, prices, services or FAQs, requested through our online form or by email. Unused changes don't roll over. Extra or larger changes are quoted separately.
- Hosting and upkeep: We keep the assistant running on our third-party chat platform for as long as your subscription is active.
- Online-only service: Setup, changes and support are handled through online forms, email and text. We don't offer phone or video meetings.
Not included: building or editing your website, phone answering, marketing text or SMS campaigns, CRM setup, advertising, or anything not listed above, unless we agree to it in writing.
2. Fees
- Setup fee: $497, one-time, due at checkout before we start building ($248.50 for founding clients). It's non-refundable once the build has started.
- Monthly fee: $149 per month, billed automatically through Stripe, starting at checkout (charged together with the setup fee, then monthly on that date).
- Prices are in US dollars and exclude any applicable taxes. We may change the monthly price with 30 days' written notice, but not during your minimum term.
- If a payment fails and isn't fixed within 7 days, we may pause the assistant until the account is current.
3. Minimum term
- The first 3 months after go-live are a minimum commitment. If you cancel during that time, the remaining months of the minimum are still due.
- After the minimum, the service continues month to month.
4. Founding-client offer
- Founding clients receive 50% off the setup fee in exchange for an honest testimonial after about 30 days of use. You approve the final wording before we publish it, and we disclose that you received a discount. We use your name or business name only with your permission.
5. Your responsibilities
- Accurate information: You're responsible for the accuracy of everything you give us, and for telling us when it changes. The assistant answers from that information.
- Installing the snippet: You (or your web person) install the code snippet we provide on your website and keep it installed. We provide step-by-step instructions for common website builders.
- Lead follow-up: You're responsible for responding to leads the assistant sends you.
- Lawful use: You'll use the service in line with applicable laws, including posting any privacy notice your website needs to tell visitors that a chat assistant collects their contact details.
6. No medical or sensitive data
- The assistant is set up to collect only basic contact details (name, phone, email) and a short, general reason for contact (for example, "new patient" or "AC repair").
- It is not designed to collect or store health information, diagnoses, insurance details, payment card data, Social Security numbers or other sensitive data. It is not a HIPAA-compliant system, and we don't sign Business Associate Agreements.
- You agree not to ask us to set it up to collect that kind of information, and to tell visitors (for example, in the chat greeting) not to share medical details.
- The assistant provides general information only. It doesn't give medical, legal or other professional advice.
7. No guarantee of results
- We don't guarantee any particular number of leads, bookings, sales or revenue.
- AI assistants can sometimes give incomplete or incorrect answers. We work to keep answers accurate to your information, but we can't guarantee every response is correct.
- The service depends on third-party platforms (chat, AI model, hosting, email, text messaging and payments). We aren't responsible for their outages, but we'll work to restore service promptly.
8. Cancellation
- After the minimum term, either party can cancel with 30 days' written notice. Email to emma@tryalwaysonfrontdesk.com is fine.
- When service ends, we deactivate the assistant. You should remove the snippet from your site.
- If you ask within 30 days of cancellation, we'll send you an export of the leads collected for you.
- We may end the service immediately if you materially breach these Terms (for example, non-payment beyond 30 days or unlawful use).
9. Ownership
- You own your business information and the leads collected for you.
- We (and our platform providers) own the assistant setup, templates, prompts and tools we use to deliver the service.
10. Limitation of liability
- The service is provided "as is," to the extent the law allows.
- Neither party is liable for indirect, incidental or consequential damages, including lost profits, lost leads or lost business.
- Our total liability for any claim related to the service is limited to the fees you paid us in the 3 months before the claim.
11. General
- We may update these Terms with 30 days' notice. Continuing to use the service after that means you accept the update.
- These Terms are governed by the laws of the State of California.
- These Terms, together with your checkout and onboarding form, are the entire agreement between us.
